I take looking after your information seriously, especially when it's about your children. This page explains, in plain English, what I collect, why, and what you can ask me to do with it.
Who I am
Becky's Braids is run by [Becky's full name], a sole trader based in Surrey. I'm responsible for the personal information you share with me. You can contact me at beckysbraidssurrey@gmail.com. [ICO registration number, if registered.]
What I collect
- Contact details: your name, email address and, if you choose to share it, your phone number.
- Booking details: dates, your postcode or venue, the service you've booked, the number of guests, and children's first names and ages where needed.
- Hair and health notes: anything you tell me about allergies, sensitive skin or scalp conditions, so I can braid safely. I only ask for what I need.
- Messages: what you send me by email, through my contact form, or on Instagram, Facebook or TikTok.
- Photos: pictures of finished braids, only with your permission.
- Payments: handled by [payment provider]. I don't see or store your full card details.
How I use it
- To reply to your enquiries and send quotes and price lists (to take steps towards a contract).
- To manage your booking, reminders and payments (to perform our contract).
- To keep records for tax and accounts (legal obligation).
- To share photos of my work online (your consent, which you can withdraw at any time).
- To note allergies or scalp conditions so I can braid safely (your explicit consent).
I'll never sell your information or send you marketing emails unless you've asked to hear from me.
Who I share it with
I only share information with trusted services that help me run the business:
- [Booking system, e.g. Calendly / Cal.com / Ticket Tailor] for bookings and workshop places
- [Payment provider, e.g. Stripe / SumUp] for payments
- Google (Gmail) for email
- Vercel, which hosts this website
- Resend, which sends messages from the contact form
- [Accountant] for my accounts
Some of these services may store data outside the UK. Where they do, they use appropriate safeguards.
How long I keep it
I keep enquiries that don't lead to a booking for [12 months], and booking records for [2 years] after your last booking so I can help with repeat bookings. Financial records are kept for 6 years, as required by HMRC. Allergy and scalp notes are deleted [after your appointment].
Photos of children
I'll always ask a parent or guardian before taking or sharing a photo of a child. I focus on the braids, usually from behind or above, and only show faces when a parent has said that's fine. If you'd like a photo taken down from my website or social media, just email me and I'll remove it.
Your rights
You can ask me to:
- tell you what information I hold about you and send you a copy
- correct anything that's wrong
- delete your information (unless I need to keep it by law)
- stop using it, or withdraw consent you've given
Email beckysbraidssurrey@gmail.com and I'll reply within one month. If you're unhappy with how I've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
